Balancing innovation with trust, transparency and responsible data use
in an AI-driven landscape.
As artificial intelligence (AI) becomes increasingly embedded in business platforms, iPayroll is observing growing concerns around data privacy practices. iPayroll is encouraging organisations to look beyond new features and carefully consider how their data is being collected, used and managed.
While AI presents significant opportunities for efficiency and automation, it also introduces important considerations around data privacy, transparency and ethical use. In some cases, platform providers may include terms and conditions that allow customer data to be used to train AI models or share data across third-party platforms, often detailed within terms or privacy policies.
iPayroll believes understanding these conditions is critical, particularly when managing sensitive payroll and employee data.
As AI capabilities expand, organisations are weighing the benefits of automation against potential trade-offs. While some platforms may offer cost efficiencies by leveraging customer data to enhance AI functionality, this can come at the expense of data control, transparency and dependency on platform design choices that may influence operational decision making.
Without strong controls and clear data governance, these risks can be amplified, particularly as new technologies are layered onto existing systems.
The growing use of AI places greater responsibility on finance and payroll professionals to uphold established ethical standards. The APES 110 Code of Ethics for Professional Accountants requires adherence to five fundamental principles: integrity, objectivity, professional competence/due care, confidentiality and professional behaviour.
As automation increases, maintaining these principles is essential to ensuring trust, transparency and accountability are not compromised.
iPayroll is also encouraging businesses to review terms and conditions carefully, particularly where data usage is concerned.
“AI is a powerful tool, but businesses need to understand how their data is being used behind the scenes,” said Martin Gleeson, Managing Director at iPayroll.
“While data may be used to enhance AI systems, organisations should be fully aware of and comfortable with how their data is handled.”
At iPayroll, data privacy remains a core principle of the business. Client data always remains the property of the client and is used solely to deliver payroll services. It is not used to train AI models or for purposes beyond agreed services.
As an ISO 27001 certified organisation, iPayroll operate under internationally recognised standards for information security and data management. This commitment extends to the development and use of AI capabilities, ensuring they are governed by the same rigorous controls, oversight and accountability frameworks.
As AI continues to reshape business systems, iPayroll believes success lies in adopting technology thoughtfully, balancing innovation with accountability.
“Efficiency is important, but not at the cost of trust,” said Mr Gleeson. “Businesses should feel confident their data is handled responsibly, and that starts with choosing partners who prioritise transparency and client ownership.”
